Overall Job Function

  • To coordinate the process of the Company’s sales and service functions, from the quotation stage, through to completion of individual tasks and eventual invoicing and admin closure for each specific task.

Main Tasks

  •  To send and Receive RFQ, Offers from customers and Suppliers
  • To receive Orders from customers. Send Orders to suppliers
  • To create the SAF in OPS/Plexus or any similar system
  • To request update from suppliers regarding order. Send update to customers regarding order
  • To track shipments and confirm arrival to delivery destination and update customer
  • To request ETA and ETD from agents, do all the follow-up
  • To locate certified service centres in different cities around the world
  • To arrange for certified technicians/engineers to service vessels
  •  To request regular updates from suppliers regarding technical attendances
  • To send and update customers regarding technical attendances
  • To request from supplier’s confirmation of service completion on different vessels
  • To request Service Reports from suppliers
  • To chase Service Reports from suppliers. Send Service Reports to customers
  • To request Invoices from suppliers. Chase Invoices from suppliers
  • To issue invoices including regular follow up and reminders
  • To update SAF or similar system and hand it in to my supervisor for check
  • To issue the invoices for closed cases
  • Incoming claims to be registered and handled accordingly
  • In case of dispute or notes, approval to be obtained by the manager
  • Maintain housekeeping of RFQs in database/B2B ensuring accurate, up to date admin records
  • Ensure use of approved forms and documents where appropriate
  • Responsible for start to end process for tasks, including final sign-off of each task signifying completion in all respects
  • Assist admin staff where required
